ABOUT THE ROLE

This is an entry level administrative role which will initially support our work in book-gifting, particularly focusing on our school library programmes and supporting our Children’s & Young People’s Projects Manager. The role will involve working closely with artists, school staff and suppliers to ensure the smooth delivery of our school library gifting programmes. There may also be ad hoc administrative duties to support the rest of the team.

Reporting to the CEO, the Administrative Assistant will:

Process applications for school libraries and other book-gifting schemes
Manage communications with schools, including decisions on book selection, ensuring contracts are signed, ensuring schools have reported on the project’s impact and tracking completion of surveys or other evaluation tools
Manage adherence to Children’s Books Ireland’s policies and guidelines, including but not limited to Child Protection Policy, assistance in the Garda vetting process, GDPR, event guidelines etc
Work with artists and schools to schedule author/illustrator visits
Arrange and supervise author/illustrator visits
Work with external suppliers and schools to place book orders and order art supplies
Contribute to the development of materials in relation to school libraries, assisting the Children’s & Young People’s Projects Manager
Pack and ship books and materials where needed (when the team returns to the office)
Support the Children’s Books Ireland team more broadly; duties may include mailouts, minute-taking, answering phones/door/emails
REQUIREMENTS:

At least one year’s experience in a comparable administrative role
Strong interpersonal skills: the ideal candidate will be friendly, professional and able to work with a wide range of partners
Excellent communication skills, responding quickly and efficiently to queries as they arise
Meticulous attention to detail
Being a self-starter with strong organisational skills, with the capacity to prioritise and balance multiple demands in a fast-paced environment
Excellent digital literacy, with a high level of proficiency in MS Word, Excel, Outlook and ability to work with Dropbox, Zoom and Slack
Ability to be work effectively as part of a small, creative and dynamic team
The following are desirable, but not essential:

Proficiency in written and spoken Irish
An understanding of and experience working in the arts or charity sectors and/or an interest in children’s books
Driving licence; some travel to schools may be required
Reporting To: CEO

Location: Currently from home, with the full team working remotely. Eventually, this role will be based full-time in the office, First floor, 17 North Great George’s Street, Dublin 1. Office location may change, but will remain in central Dublin.

Start date: As soon as possible

Contract duration: Three years, with a six month probation period, and possibility to renew thereafter.

Hours of work: 40 hours per week, working hours are flexible between 8 a.m. and 5.30 p.m. Occasional evening or weekend work may be required, for which time off in lieu can be taken in accordance with company policy.

Remuneration/benefits: €27,000 per annum. 5% matching pension contribution. 25 days’ annual leave. Ability to work flexibly. Mobile phone provided.
