Sales, Marketing and Administration Role

This person must have superb customer service skills with a welcoming and cheerful demeanour at all times. They should display a professional and courteous manner both over the phone and face to face. You will report into the Managing Director.

Responsibilities include:

To manage the Visitor Centre Desk at all times, answer the telephone in a professional and welcoming manner. Take messages, record in Insightly and take appropriate action e.g. call back, forward to relevant manager. Answer all emails promptly, likewise return calls.
Focus on sales in all areas eg School Tours, Active Retired Groups, Hotels, Tour Operators, Workshops and all other incoming Sales opportunities and close all Sales.
Ensure the desk is manned at all times. Allocate tasks if necessary.
Respond to all emails with a personal approach – applicable to the email sent in – ensure the customer feels valued and listened to.
Greet and welcome visitors to WH&G, ensuring that they know their way around the grounds and explain the brochure to them.
. Ensure information on answering machine is up to date.
Support the Managing Director in an admin role
Upsell the house tour, garden tour and other activities.
Manage ticket sales through Ticket Tailor and at desk.
Supply completed worksheets for any events eg birthday parties etc
Ensure all calendars (Restaurant, Events) are up to date, and all relevant information given.
Daily cash and laser reconciliation.
Deal with incoming/outgoing post on a daily basis.
Monitor and order stationery
Produce sales invoices monthly (record all invoices on a spreadsheet and include on the weekly report of any o/s invoices and action/update) * New spreadsheet to be set up.
Producing and maintaining Excel spreadsheets for reports etc.
Various typing, photocopying, filing and other administration tasks.
Organise the tour guide / events facilitator roster etc in keeping with demand and communicate it to each staff member weekly.
Daily report to be emailed to Managing Director, to include current information being given and also an outline of the next days business e.g. ICA tour arriving at 10am, 50 people, tea/Coffee & Scone etc
Update Craft Courtyard payments log and highlight any issues.
Management and reconciliation of petty cash
Any other task as requested
Marketing element of this Role

Responsibilities will include:

The Wells House and Garden Marketing Manager is responsible for growing the brand and reputation of Wells House and Gardens. They should identify opportunities in terms of PR and promotion of the venue and assist in growing current and new revenue streams.

Duties include:

To promote and grow the Wells House and Gardens brand and reputation
To encourage and grow footfall
Develop events and activities to raise awareness of Wells House and Gardens
To manage PR aspect of Wells House and Gardens (social media)
To ensure customer experience is delivered by all areas for visitors to Wells House and Gardens
Represent Wells House and Gardens at trade shows
Assist in delivery of targets for each event as agreed with Management
Manage and promote the different areas of Wells House and Gardens in a timely, effective manner
Assist with development of agreed new ideas through support and pricing and if it is possible under the Wells model to deliver the concept in keeping with the 3 core principles
Work together with Noise to produce literature, marketing material and advertising in line with the brand.
